The host’s guide to a welcoming event space
A few considered choices in layout, lighting, and preparation help guests settle in.
Make arrival easy
Give guests clear directions, parking or transit information, and a way to identify the entrance. Plan a place for coats, particularly during colder months in Canada and the northern United States. Keep walkways clear and discuss access needs ahead of time.
Plan the room around people
Place drinks away from the entrance to prevent a bottleneck. Leave comfortable routes between tables and arrange a quieter spot for conversation. Coordinate kitchen access, power, water, and waste handling with the venue and caterer.
Prepare for a change of plans
For outdoor gatherings, agree on an indoor or covered alternative and decide when to switch. Check rental delivery and pickup details, prepare a short contact list, and assign someone to handle last-minute questions. Finish with soft lighting and music at a level that makes conversation easy.
